Gadgets to Go Overdue and Damaged Fee Policy

Scope: All current Mines affiliated students and staff
- Overview
To ensure the continued availability of items in our Gadgets to Go to the current Mines community, the library implements systematic consequences for items that are not returned on time or at all. This policy outlines the timeline for overdue and lost status, associated fees, and the resulting account restrictions.
Our gadgets are intended to serve the entire campus community. These items are designed for short-term use and are not intended to be held by a single user for an extended period. This allows all community members a fair opportunity to utilize this technology.
- Overdue Items
Gadget to Go items are automatically transitioned to overdue status based on the patron’s original booking confirmation and the category of item that was reserved using LibCal.

Consequences of Lost Status:
- Financial: A replacement fee for each item will be charged to the user’s account according to the Gadgets to Go Fee List for the item. If the item checked out by the library is returned to the library in good condition before 30 days past the due date of the booking, the fee will be waived. Gadgets to Go Fee Lists
- Account Blocks: A block will be placed in LibCal, preventing the user from borrowing physical items or placing reservations on spaces in the library, including Study Rooms and the Conference Room.
- Current Campus Members: An additional hold will be placed on the student’s University account, preventing class registration or transcript requests. In the case of a faculty/staff/University Staff (Admin), an email will be sent to their supervisor in hopes of quickly resolving the item’s overdue status.
- Non-Current Mines Members: Borrowing items from Gadgets To Go is not permitted.
NOTE
We do not accept physical replacements purchased by the patron. To lift holds and waive fees, the original item must be returned in the condition it was checked out OR the applicable fees paid in full.
Repeated holds/ blocks:
When a patron accumulates multiple University holds, the following consequences apply:

| Item overdue 5 days | Hold is placed on University and LibCal accounts until item is returned OR fine is paid. |
| 2 holds on University account in 1 semester OR Item overdue 40 days | Hold is placed on University and LibCal accounts until fine is paid. User is also blocked from borrowing from Gadgets To Go for the rest of the current semester and the following semester. |
| Item is overdue for 50 days | Hold is placed on University and LibCal account until fine is paid. User is permanently banned from borrowing Gadgets To Go and reserving spaces in the Library. |
- Damaged Items
The last patron to have checked out an item is responsible for its condition upon return. The Library will assess returned items for damage and apply fees based on the following criteria:
- Irreparable/Unusable Damage: If an item is returned damaged and can no longer be used for its intended purpose, the patron will be blocked and responsible for the full replacement cost according to the structure above. This includes items with functional defects, missing critical components, or severe structural damage.
- Minor/Cosmetic Damage: If an item is damaged but remains in safe, usable condition (e.g., significant cosmetic wear, minor fraying, or non-functional structural issues), the patron may be blocked and responsible for 50% of the replacement cost.
- Final Determination: All damage assessments and resulting fees are determined at the discretion of the Manager of User Services or the Course Readings Specialist.
- 4. Payment and Resolution
In accordance with this policy, all fees must be paid in full to lift University account holds. In addition to fees being paid, the consequential time must have passed to restore library privileges related to the Gadgets to Go collection and reservable spaces, as applicable. Partial payments are not accepted at this time.

- Effect of Payment: Once the fee is paid in full, the hold on the student account will be lifted. Other consequences will remain based on the chart above according to the circumstances.
Discussion and Appeal: Library users with concerns about this Policy on Overdue and Damaged Gadget Fees
Persons who have had their library privileges suspended or who have been denied access to spaces within the library may contact the University Librarian about restoring privileges. The University Librarian, in consultation with the Circulation Manager and other campus authorities as appropriate, will make a final determination.
